Hextropian Systems, Inc. ("Hextropian," "we," "us," or "our") operates hextropian.ai and related public website pages and interactions (the "Website"). This Privacy Policy explains how we collect, use, disclose, and retain personal information when you use the Website or communicate with us through it.
1. Scope
This policy applies to information collected when you:
- visit or browse the Website;
- contact us or submit an inquiry;
- request or schedule a demonstration or meeting;
- apply for a job or communicate with us about employment;

- otherwise communicate with Hextropian through Website-related business channels.
This policy does not describe customer content or other information processed through the Hextropian Platform on behalf of customers. Those activities are governed by the applicable customer agreements, data-processing terms, and product-specific documentation. It also does not cover employee or contractor records governed by separate internal policies or notices.
2. Information we collect
Information you provide
Depending on how you interact with us, you may provide information such as your name, company, job title, work email address, telephone number, message content, meeting preferences, scheduling information, resume or CV, employment history, professional links or work samples, and other information you choose to provide.
If you submit a privacy request, we may also collect information reasonably needed to understand, verify, and respond to the request.
Information collected automatically
When you use the Website, Hextropian and its website, analytics, and security providers may receive limited technical information needed to deliver, secure, and measure the Website. Depending on the service and request, this may include Internet Protocol address, browser and device information, requested page, referring page, date and time, approximate location derived from an Internet Protocol address, and security or bot-detection signals.
Sensitive or confidential information
Please do not send passwords, government identification numbers, financial account information, medical information, customer records, regulated operational records, export-controlled information, or other sensitive or confidential material through a public Website form or general email channel unless Hextropian specifically provides an approved secure method for that purpose. Job applicants should not include Social Security numbers, passport numbers, bank information, or medical information in an initial application.
3. How we use information
We use personal information as reasonably necessary to:
- operate, maintain, secure, troubleshoot, and improve the Website;
- respond to inquiries and provide requested information;
- schedule and conduct demonstrations, meetings, and business conversations;

4. Analytics, cookies, and Website security
Plausible Analytics
We use Plausible Analytics to understand aggregate trends in Website use. Plausible is designed to provide cookieless analytics without persistent identifiers or cross-site tracking. Under Plausible's standard service, raw Internet Protocol addresses are not stored, and visitor analytics are aggregated for measurement purposes.
Cloudflare Turnstile
We use Cloudflare Turnstile in parts of the Website to help distinguish legitimate visitors from automated or malicious activity. Turnstile may process technical browser, network, and security signals and, depending on configuration, may use browser storage or cookies needed for its security functions.
Advertising technologies
The Website is not currently configured to use advertising cookies, retargeting technologies, or cross-site behavioral tracking. If that changes, we will update this policy and provide any notice or choice required by applicable law.
5. How we disclose information
We may disclose personal information when reasonably necessary for the purposes described in this policy, including to:
- website hosting, delivery, security, and technical service providers;
- Plausible Analytics for aggregate Website measurement;
- scheduling, calendar, email, and communications providers used to arrange meetings and communicate with you;

Third-party services may process information under their own privacy policies and terms when they act independently from Hextropian.

Retention periods vary based on the type of information, the nature of the relationship, applicable legal requirements, and whether information must be preserved for security investigations, legal claims, or other lawful purposes.
When information is no longer reasonably needed, we may delete, deidentify, or securely dispose of it, subject to backup cycles, legal holds, and other lawful exceptions.

No website, transmission method, or storage system can be guaranteed to be completely secure, so please use appropriate care when sending information online.
